The Facilities & Workplace Operations Coordinator supports the day-to-day operations of the Shelton Corporate Headquarters, including workplace services, mailroom and shipping/receiving operations, vendor coordination, and facilities operational support. This role serves as a key on-site partner to Facilities, Environmental Health & Safety (EHS), Security, Finance, HR, and third-party service providers to maintain a safe, efficient, and well-managed workplace while supporting a positive employee experience.

A Day In the Life

Office Operations & Workplace Services

  • Support daily office operations to maintain a professional, efficient, and welcoming corporate environment
  • Maintain inventory of office and facility supplies and coordinate ordering and replenishment using SAP
  • Stock and maintain common areas, conference rooms, copy rooms, and shared workspaces
  • Assist with office equipment support (copiers, printers, mail equipment, etc.)
  • Respond to employee workplace and facility-related requests in a timely, customer-focused manner
  • Support meetings, onsite events, and employee engagement activities as needed

 

Mailroom, Shipping & Receiving Operations

  • Manage daily mailroom operations for Shelton HQ, including incoming and outgoing mail and packages
  • Coordinate outgoing shipments, including packaging, labeling, postage, and carrier selection (domestic and international)
  • Audit deliveries against packing slips to ensure accuracy
  • Schedule and manage freight deliveries and dock activity
  • Track shipments and coordinate with carriers to meet delivery timelines
  • Maintain shipping and receiving areas in an organized, compliant, and safe manner
  • Support compliance with shipping regulations, including hazmat handling requirements, as applicable

 

Facilities Operations Support

  • Support routine facility operations, inspections, and maintenance activities to ensure a safe, clean, and functional workplace
  • Coordinate service requests, corrective maintenance, office moves, space adjustments, and related facility documentation
  • Support site-level EHS programs, safety inspections, audits, emergency response, and building safety protocols in partnership with the EHS team

 

What will help you thrive in this role?

Required

  • High school diploma or equivalent
  • Minimum of 2 years of experience in facilities, office operations, mailroom, logistics, or workplace services
  • Proficiency with Microsoft Office applications (Outlook, Excel, Word)
  • Strong organizational, communication, and multitasking skills
  • Ability to work independently and manage multiple priorities
  • Ability to lift and move packages (up to 50 lbs) and perform physical tasks associated with mailroom and facility support functions

 

Preferred

  • Associate’s or Bachelor’s degree in Business Administration or related field
  • Experience in a corporate headquarters or multi-department office environment
  • Experience coordinating vendors and service providers
  • Knowledge of shipping/receiving procedures and hazmat requirements
  • Experience with USPS Certified Mail, UPS shipping processes, and WorldShip or comparable shipping systems
  • Ability to work with discretion and confidentiality as needed
