Position Overview

The Administrative Assistant, Legal is a proactive individual who can take direction from multiple team members, work in a team environment in Hubbell’s Shelton, CT headquarters and juggle multiple confidential and time-sensitive projects.  A highly resourceful individual with strong emotional intelligence, self-motivation, integrity and commitment to superior service will excel in this role.  Exceptional organizational skills, coupled with excellent communication skills are key.  Working in a tight knit team and bringing positive energy to the workplace every day is crucial.

Duties and Responsibilities

Manage and oversee a wide array of administrative responsibilities for the General Counsel and Legal Department, including calendar management, vendor invoice processing, travel related planning and expense report processing.

Vendor Processing: manage legal vendor invoicing, onboarding, tracking, and data collection via a third-party cloud based legal-billing system; manage legal accruals; interface with vendors on various queries; and onboard new team members and vendors to the billing system.

General: work closely and effectively with GC, AGC and various stakeholders (internally and externally) to ensure commitments are achieved timely.  Able to juggle a variety of projects, all of a confidential and often time sensitive nature.  Prioritizes projects and deliverables, pro-active in nature and able to bring issues to completion on time.  Very detail oriented.

Preparation of PowerPoint and Excel presentations; must be skilled in both.

Assist in corporate secretary matters, including execution of documents and notarization and apostille processes.

Assist in the contract execution process as needed, including use of DocuSign.

Manage communications to Legal team, outside counsel and internal stakeholders regarding Legal Department initiatives.

Assist in the execution, organization, maintenance and tracking of vital Company records and documents.

Arrange C-level meeting logistics as needed, including the use and set-up of conference calls, webinars, video, etc. via MS Teams and Outlook.

Develop and maintain procedures and processes for Legal Department.

Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.

Additional ad hoc projects as needed.

Ability to work in person in an office environment.

Skills and Experience

Bachelor’s Degree or equivalent experience is strongly preferred.

Minimum 7+ years’ experience providing C-level support for a public company legal department.

Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint), SharePoint, Adobe, ERP systems, e-billing systems, and MS Teams.

Strong ability to take direction, but also exercise judgment and independent thought.

Superior written and verbal communication skills.

Proven ability to handle confidential information with the utmost discretion and sensitivity.

Strong organizational skills, including task prioritization with minimal supervision, and ability to complete required tasks by given deadlines.  Detail oriented.

Strong proactive approach, taking the initiative where appropriate, and looking beyond the immediate ask to anticipate a future need or requirement.

Works calmly under pressure.

Ability to maintain a professional and courteous demeanor with vendors, clients and fellow employees.

Notary public preferred.
