Job Overview

The Project Coordinator is responsible for the comprehensive coordination of shipment planning for control enclosures from the point of customer purchase order receipt through to delivery. This role demands proactive engagement in customer-facing activities, meticulous planning, and coordination with multiple internal and external stakeholders to ensure seamless execution of shipping and offloading plans.

A Day In The Life

Pre-Project Planning: Collaborate with Estimating and Sales to provide budgetary Field Service costs and initiate pre-delivery route surveys tailored to customer specifications.

 

Shipment Preparation (T-10 to T-0 weeks to shipment):

  • At T-10 weeks to shipment, assume a customer-facing role to translate the scope of work from customer POs into actionable loading, shipping, and offloading plans.
  • Conduct and analyze Site Audit Questionnaires by T-9 weeks to confirm site readiness and obtain key deliverables such as site layout.
  • Manage communications with internal stakeholders and publish summaries for internal reviews.
  • Provide and confirm shipment logistics details including dimensions, weight, and rigging plans by T-8 weeks.
  • Oversee the assignment of carriers and cranes by T-6 weeks and establish the Project Delivery Team.
  • Facilitate detailed discussions by T-5 weeks with carriers, cranes, and site contacts to finalize site-specific logistics such as crane placement, carrier paths, and staging areas.
  • Ensure the creation of comprehensive site walkdown summaries, traffic control plans, and building orientation strategies by T-4 to T-3 weeks.
  • Confirm travel permits and address any outstanding issues from T-2 weeks to shipment.
  • Finalize and archive all pre-shipment documents and confirm compliance with all regulatory and logistical requirements by T-1 week.
  • Lead the final Delivery Conference Call at T-0 weeks to ensure all parties are aligned and informed before shipment.

 

Key Partnerships:

Coordinate closely with Systems Control Project Management, Customer Project Management, Planning, Manufacturing, Design Engineering, EE Test, Shipping Departments, Field Service, SC Estimating, SC Purchasing, and relevant subcontractors including carriers, crane operators, and local traffic control and permitting offices.

  • Bachelors Degree or 3-5 years experience proven experience in logistics and project management, preferably in manufacturing or similar industrial sectors.
  • Strong organizational and leadership skills to manage complex projects and multi-disciplinary teams.
  • Excellent communication and interpersonal skills for effective stakeholder management.
  • Ability to resolve conflicts and provide solutions in a timely manner.
  • Knowledge of regulatory standards and compliance requirements related to shipping and transportation.
  • Technical proficiency in software related for project management and logistics coordination.
