Position Overview

The Marketing Administrative Assistant will work closely with the enterprise marketing operations team, to provide a broad range of support to enable the efficient and compliant operation of the enterprise marketing team.  The primary role of the Marketing Administrative Assistant is to provide vendor and payables management and will occasionally be called upon for other operations-based duties such as managing requests for access to marketing portals, coordination of print fulfillment tasks, ordering supplies, coordinating team events, and supporting the VP of Customer Experience with light reporting and administrative requests.  

Duties and Responsibilities

  • Reporting related to Enterprise Marketing projects and work
  • Vendor setup, purchase order requisitions, and payables management 
  • Organization and oversight of contract renewals 
  • Organization of HEM Microsoft TEAMS site and files 
  • Coordination of special projects as assigned to include meeting planning, registration for corporate events, and small research projects
  • Manage inventory of department computers and equipment, support the team in replacement orders
  • Maintain and support access as needed to online marketing portals 
  • Support the deployment of tools, or large-scale rollouts such as internal campaigns
  • Order supplies, support the print fulfillment center, support the company storefront, and coordinate the ordering of promotional items
  • Work with HEM Leadership to coordinate schedules as required for team events, find meeting/hotel space and catering as needed
  • Ad-hoc Enterprise Marketing enablement projects
  • Assist VP, Customer Experience with travel, expenses reporting and meeting scheduling

Skills and Experience

  • BA/BS degree in business, marketing, or a related field 
  • At least 1 year of experience in a sales and/or marketing environment   
  • Must be a self-starter able to handle competing/multiple issues and priorities, at the same time  
  • Superior proficiency in Excel, Word, Outlook, and PowerPoint
  • Possess strong interpersonal skills with excellent verbal and written communications
  • Superior organizational, collaboration, and time management skills
  • The ability to work with supervision in delivering quality work 
  • SAP and Workfront project management software experience are preferred but not required

Education

Bachelors Degree in Marketing
