Job Overview

The Administrative Assistant is responsible for providing support to the organization by scheduling visitors, handling correspondence, organizing meetings, managing records, and performing a variety of administrative tasks to ensure the smooth operation of Hubbell’s offices.  This position also supports Accounting administrative tasks. A successful incumbent will possess extraordinary customer service skills, attention to detail, discretion, and good judgment.

A Day In The Life

Every day at Hubbell is different and you’ll contribute in many ways. On any given day, you’ll make a difference by: 

  • Handling incoming and outgoing correspondence, emails, and phone calls 
  • Maintain an organized lobby and provide a positive first impression to employees and all visitors
  • Manage required entry logs, oversee welcome procedures for customers, visitors, and new employees
  • Maintaining and updating paper and electronic records, databases, and filing systems 
  • Ordering and maintaining office supplies, managing equipment, and handling mail and deliveries 
  • Serve as point person for work-related lunch orders and support administrative tasks for employee special events
  • Provide assistance on accounting functions including but not limited to cash receipts, customer invoice documentation, vendor invoice review, record management
  • Arranging, scheduling, and coordinating meetings, conferences, and presentations 
  • Acting as point of contact for internal and external clients 
  • Addressing and resolving administrative issues, inquiries, and requests from employees and external contacts 
  • Collaborating with other departments to support special projects, events, and initiatives

  • High School Diploma 
  • Previous Customer Service, Support or Administrative experience 
  • Must be able to meet deadlines in a fast-paced quickly changing environment 
  • Excellent verbal and written communication skills. 
  • Strong interpersonal and customer service skills. 
  • Proficient in Microsoft Office Suite or related software. 
  • Ability to multitask.
  • Excellent organizational skills and attention to detail. 
  • Basic understanding of clerical and accounting procedures and systems such as recordkeeping and filing. 
  • Ability to work independently.
